Quick VOB
Quick VOB questions, answered
What it costs, what a check tells you, which payers it reaches, how it handles HIPAA and Part 2, and how it fits next to the EHR you already use. If your question isn't here, write to us at [email protected].
Pricing and trial
How much does Quick VOB cost?
$99 a month for your whole organization, plus each question to a payer at the clearinghouse’s standard rate (about 30¢), and a $200 one-time setup. There's no charge per user.
How is each question priced?
Each eligibility request is billed at our clearinghouse’s standard first-tier rate, about 30¢, the price a practice would pay the clearinghouse on its own. Last month's requests show up as one line on your next invoice, and Settings shows this month's count and charge as you go.
Why can one check be more than one charge?
A check asks the payer a question for the main benefits. When the payer is silent, we ask a second way. Then we ask once for each kind of level-of-care benefit you chose: substance use inpatient (detox and residential), partial hospitalization, and substance use outpatient (IOP and OP), at most three more. Each question is about 30¢, so a full check is usually about 90¢, and never more than six questions. You choose which levels to ask about.
Is there a limit on users or checks?
No limit on users, and no monthly cap on checks. To protect you from a mistake or a runaway script, an organization can run up to 200 checks a day. Tell us if you need more.
What's the setup fee for?
We connect your organization's NPI and taxonomy, run your first checks with you, and set up your team.
Is there a free trial?
Yes. 30 days free with 75 payer questions included (about 20 to 25 checks), and no card needed to start.
Is there a contract?
It's a monthly subscription. The owner can change the card or cancel in Settings.
How does that compare with other options?
See VOB software vs outsourcing vs calling payers for published prices and a side-by-side comparison.
Checks
What does a check tell me?
Whether coverage is active and the plan dates; deductible and out-of-pocket, in and out of network, individual and family, with how much is used and how much is left; coinsurance and copays; prior authorization; each level of care the insurer answers for; and anything to watch, like a carve-out, a narrow-network plan, or a payer error. At the top, one plain sentence says what the client will pay at most this plan year.
How long does a check take?
About a minute from the card photo to the answer, most of it confirming the fields. The payer's answer itself usually comes back in seconds.
Does it replace calling the payer?
It answers the money questions in seconds. Payers rarely send level-of-care details (PHP or IOP days, precertification rules) electronically, so Quick VOB shows exactly what still needs the call, and keeps what the rep said.
Which levels of care does it cover?
Detox, residential, PHP, IOP and outpatient, side by side: covered or not, authorization needed or not, cost and day limits, from the insurer's answer or from your call.
Does it work for mental health programs too?
Yes. Choose mental health as the kind of care, and the check asks for mental health benefits (therapy, psychiatry, PHP and IOP) instead of substance use.
What if the payer sends back an error?
You see it in plain English with what to do next: a wrong member ID, a date of birth that doesn't match, a payer that won't answer for your provider type. Fix the field and run it again.
Can I run a check again before admission?
Yes, with one tap on "Check again." We suggest it the day before admission: coverage verified on a Friday can end on the first of the month.
Does a check guarantee payment?
No. A check is what the payer said at that moment. Eligibility and benefits are still subject to the plan's terms, medical necessity and authorization. That's why Quick VOB keeps the date and time, the rep's name and the reference number.
What should a complete VOB include?
Our free VOB checklist goes through each item, and what to ask the rep at each level of care.
Payers and the clearinghouse
Which payers can it check?
Checks go through our clearinghouse, Stedi, which lists more than 3,500 payers in its network across all transaction types. Most commercial plans, Medicaid plans and Medicare Advantage plans that take electronic eligibility requests are reachable. A payer that only works by phone or portal can't be reached by any clearinghouse; Quick VOB says so, and you can log the call instead.
Do we have to enroll with each payer?
Usually not. Stedi says most payers don't require enrollment for eligibility checks. Checks go out under your organization's own NPI and tax ID.
Will it get in the way of our billing company or clearinghouse?
No. Quick VOB only sends eligibility checks. It doesn't send claims or sign you up for electronic payments, so nothing changes for your biller.
Does it catch behavioral health carve-outs?
When the payer's answer names another company for behavioral health, such as Optum, Carelon or Magellan, Quick VOB flags it at the top of the check, and one tap starts a check with them, already filled in. See behavioral health carve-outs.
Does it tell me if we're in network?
When it can. If you record your contract with a plan, or the payer approved care, the check says the program is in network. Narrow-network plans (like many HMOs and EPOs) get a warning to confirm before you admit, and a plan you're out of network with says so plainly.
Card reading
How does card reading work?
Take a photo of the front and back of the card on any phone. AI running on AWS, under our Business Associate Agreement, copies the name, member ID, group, insurance company, phone numbers and any behavioral health line. It copies only what's printed and never guesses a digit. You check each field before you run the check.
What if the photo is blurry, or there's no card?
Type the fields yourself. A clear photo of the member ID with its prefix saves the most time.
What happens to the card photos?
They're kept with the check, so the next person can see the card. The owner can remove a check, and its card photos go with it. They're also included when you export your data.
The call and authorizations
How do we log the call?
Each check has "Log the call": covered, authorization required, and days or visits for detox, residential, PHP, IOP and OP, plus the rep's name, the reference number and the time. The behavioral health number from the card is one tap away on a phone. It saves as you go and goes on the PDF.
How does authorization tracking work?
Add the authorization to the check: the level of care, auth number, first and last day, and what was approved. Authorizations lists every open one by last day. The owner and billers get an email 5 days before the last day, and "Extended" sets a new last day and a new reminder. Our prior authorization guide covers what reviewers ask.
Can I email or print the VOB?
Yes. Each check makes a PDF with your letterhead: the benefits, the call by level of care, and the authorization. The email says only that the PDF is attached; the benefits aren't in the email text.
HIPAA, BAA and Part 2
Is Quick VOB HIPAA compliant?
We sign a Business Associate Agreement with you. Card reading runs on AWS under our BAA, and the clearinghouse signs one with us. Every view of a check is logged, and sign-in uses two steps.
What about 42 CFR Part 2?
Our Business Associate Agreement includes qualified service organization terms for Part 2 records (section 7). Under HHS's 2024 Part 2 rule, business associates count as qualified service organizations, and the compliance date was February 16, 2026 (final rule, 89 Federal Register, February 16, 2024).
What's in the reminder emails?
Only the client's initials and the VOB number, never the name, date of birth or benefits.
Who can see a check, and can we get our data out?
Only people you add to your organization. Every view is logged. The owner can export every check and card photo, or remove a check.
Your EHR and team
Which EHRs does it work with?
Any. Quick VOB works on its own next to Kipu, Sunwave, Lightning Step, Navix or anything else. Attach the PDF to the chart, or tap Copy and paste the text into your EHR's VOB note.
Do we have to switch EHRs?
No. If you ever want a full EHR, the same account grows into Cima, and a check can become a client in a tap.
Who uses it?
Admissions, the business office and billing, utilization review, and owners. It was built with, and is used by, an IOP/PHP program's own admissions team.
Does it work on a phone?
Yes, in the browser on any phone or computer, with nothing to install. Photos, the check, the call and the PDF all work on a phone.
